Overview

Self-Care Social™ is a curated wellness experience designed to create an intentional, high-quality environment for both vendors and attendees.

We prioritize alignment, experience, and community. Vendors are selected based on how well their offerings contribute to the overall feel and flow of the event.

APPLICATION

Vendors may only submit one application per business and must exhibit products and/or services as represented in their submitted application. Submitting an application does not guarantee acceptance. Application fees are nonrefundable.

To maintain a high-quality, balanced marketplace, Self-Care Social™ limits participation to no more than three (3) vendors per category. Vendor categories will close once capacity is reached. 

Each application represents one business. One space, one brand. Vendors may not split, share, or co-occupy a booth space with another business under any circumstances.

PAYMENTS & VENDOR FEES

An application fee is collected at the time of submission. You will be notified via email regarding your acceptance status.

If accepted, you will have 48 business hours to complete payment to secure your space. After that window, your booth space may be released and reassigned. Vendor spaces are not held without full payment and are assigned on a first-come, first-served basis. Self-Care Social™ does not accept checks or cash payments.

You will not be charged a vendor fee if your application is not accepted. Application fees are nonrefundable regardless of outcome.

Each booth fee covers one business only. Fees are non-transferable and may not be split between two businesses.

SETUP & SPACE

Vendor load-in begins at 10:00 AM on Sunday, May 17, 2026. All vendors must check in at the vendor registration table between 10:00 AM and 11:30 AM and be fully set up and ready by 12:30 PM.

Vendors are provided an assigned floor space only. You are responsible for supplying all tables, display fixtures, signage, extension cords, and equipment needed to operate your booth. Two (2) chairs are included with each booth space. Your setup must remain within your designated space at all times and must not block aisles, exits, or fire safety equipment.

Each assigned space is for the exclusive use of the approved vendor only. Splitting a table, booth, or any portion of your space with another business, regardless of size or arrangement, is not permitted.

No outdoor tents or tent frames are permitted inside Artifact Events.

MARKETPLACE EXPERIENCE

Self-Care Social™ is an experiential event. Vendors are encouraged to create a welcoming, interactive experience for attendees whenever possible. This is not a passive shopping environment — it is designed for connection, engagement, and discovery.

BOOTH STAFFING

Vendor booths must be staffed and operational from 1:00 PM to 6:00 PM. If you need to step away, a designated representative must remain at the booth at all times. Unattended booths disrupt the attendee experience and may result in removal without refund. Self-Care Social™ and Artifact Events are not responsible for any items that go missing from unattended booths.

LATE ARRIVAL

Vendors who arrive after 12:30 PM without prior notification may forfeit their booth space with no refund. If you anticipate a delay, please notify us in advance at [email protected].

BREAKDOWN & LOAD-OUT

Vendors may not begin breaking down before 6:00 PM. Early breakdown disrupts the attendee experience and may impact future participation opportunities. All vendor spaces must be completely cleared and cleaned by 7:30 PM. Vendors who fail to remove all materials, trash, and signage by the load-out deadline may be charged a $100 cleanup fee. Excessive mess or damage to venue property may result in additional charges and denial of future participation.

LIABILITY & DAMAGES

Vendors are fully responsible for their personal property and equipment throughout the event, including during load-in and load-out. Self-Care Social™, L' Shanell + Co., and Artifact Events assume no responsibility for lost, stolen, or damaged items.

Vendors are responsible for any damages caused by their company, staff, or equipment to the venue, the event, guests, or neighboring vendors.

INDEMNIFICATION 

By participating, Vendor agrees to indemnify, defend, and hold harmless Self-Care Social™, L' Shanell + Co., its owners, employees, contractors, volunteers, and venue affiliates from any claims, damages, losses, liabilities, costs, or expenses arising from Vendor's participation, including but not limited to personal injury, property damage, product liability, or violations of applicable laws or regulations.

PRODUCT LIABILITY 

Vendors are solely responsible for the safety, labeling, usage instructions, warnings, and legal compliance of all products sold or distributed at the event. Self-Care Social™ and L' Shanell + Co. assume no responsibility or liability for the manufacture, design, labeling, or use of any vendor's products.

INSURANCE 

Vendors are strongly encouraged to carry general liability insurance (minimum $1,000,000 coverage) and, where applicable, product liability insurance. Self-Care Social™ and L' Shanell + Co. do not provide insurance coverage for vendors, their staff, products, or equipment. Event Organizer reserves the right to require proof of insurance at any time prior to the event.

CANCELLATIONS & REFUNDS 

Application fees are nonrefundable. Booth fees are nonrefundable once accepted, under any circumstances — including but not limited to vendor cancellation, no-show, low sales performance, or inclement weather.

If you are unable to attend, please notify us at [email protected] as soon as possible. Day-of cancellations or no-shows without prior communication may affect future participation opportunities. 

FORCE MAJEURE 

Self-Care Social™ is a rain-or-shine event. If the event is cancelled entirely due to circumstances beyond Event Organizer's reasonable control (acts of God, natural disasters, pandemic, government orders, venue closure, etc.), vendors will receive a full refund of their booth fee within 30 business days. If the event is postponed, vendors may choose to transfer their fee to the rescheduled date or receive a full refund. Inclement weather alone does not constitute grounds for cancellation unless it poses a safety risk as determined by Event Organizer or venue management.

APPLICABLE LAWS & REGULATIONS 

Vendors are responsible for collecting and remitting their own sales tax. All accepted vendors are solely responsible for maintaining compliance with applicable local, state, and federal laws, licenses, permits, and regulations related to their products and services.

FOOD & WELLNESS PRODUCT VENDORS 

Vendors offering consumable products, supplements, or wellness services are solely responsible for obtaining and complying with all required health department permits, inspections, certifications, and regulations — including Chicago Department of Public Health and Cook County food safety requirements. Self-Care Social™ does not verify or enforce compliance. Vendors operating in violation of applicable regulations may be removed from the event without refund.

PROHIBITED ITEMS & CONDUCT 

The sale or distribution of firearms, weapons, alcohol (unless approved in writing), tobacco, unlicensed CBD or cannabis products, drug paraphernalia, obscene materials, or any illegal items is strictly prohibited. Vendors may not sublease, transfer, split, or share any portion of their booth space with another business. This includes half-table arrangements, co-branded setups, or any configuration where more than one business is operating from a single assigned space. Any vendor found in violation will be removed from the event without refund.

Vendors and their representatives must treat all attendees, staff, and fellow vendors with professionalism and respect. Harassment, discrimination, aggressive sales tactics, or disruptive behavior may result in immediate removal without refund.

PHOTOGRAPHY & MEDIA 

Photos and video will be captured throughout the event and may be used for promotional purposes by Self-Care Social™, L' Shanell + Co., and affiliated partners. By participating, vendors grant permission for their booth and products to appear in event media and waive any right to compensation for such use.

BOOTH PLACEMENT 

Booth placement is at the sole discretion of Event Organizer and is based on booth type, professional signage quality, and payment order. Specific locations are not guaranteed and may change due to event logistics or venue constraints. Event Organizer reserves the right to relocate vendors when necessary for event flow, safety, or attendee experience.

RIGHTS 

Self-Care Social™ and L' Shanell + Co. reserve the right to relocate, remove, or limit the participation of any vendor at any time, for any reason, including products or messaging that do not align with the event's wellness-focused brand and values.

ASSUMPTION OF RISK 

Participation in public events involves inherent risks, including injury, illness, or property damage. Vendors voluntarily assume all risks associated with their participation in Self-Care Social™. 

STAFF & REPRESENTATIVES

Vendors are responsible for the conduct and compliance of all staff, assistants, contractors, or representatives working within their booth space. Additional setup helpers must either leave by 12:30 PM or purchase a general admission ticket to remain during the event.
